So, You’ve Decided to Book Your Party—What’s Next?

Congratulations on booking your video game truck event with RVG VRcade! We’re thrilled to be part of your special day. Now that the date, time, and pricing have been confirmed, let’s walk you through the steps to get ready for the ultimate gaming experience.
Step 1: Make Your Deposit
After confirming your party details, you’ll receive a complete invoice via PayPal. This invoice will include all the details of your event, along with our terms of service. You’ll have the option to either pay the full balance upfront or make the $100 non-refundable deposit to officially book your party.
Once the deposit is completed, we’ll send you a detailed confirmation email with everything you need to know, including the remaining balance, which will be due on the day of the party.
Step 2: Customize Your Gaming Experience
Now the fun begins! At RVG VRcade, we pride ourselves on offering a diverse lineup of games to suit all preferences. Here’s what’s available:
Major Sports Games: Play iconic titles like Madden 24, Chelle 24 (NHL 24), The Big Show 24, NBA24, and fan favorites FIFA and FC24 for immersive sports action.
Modern Must-Haves: Rocket League, Fortnite, Apex Legends, Warzone, Roblox, Minecraft, Halo, Forza Horizons 5, Forza 6, Need for Speed—with controller and driving simulator options.
Nintendo Favorites: Mario Kart 8, Ultimate Super Smash Bros., multiple Mario Party games, and many more.
Unique Picks: Quirky and crowd-pleasing titles like Human Fall Flat, Totally Accurate Battle Simulator (TABS), Goat Simulator, Clone Drone in the Danger Zone, and more across different consoles.
Virtual Reality Experiences: Tour the ISS, Beat Saber, Rush, Phasmophobia, Contractors, Ultra Wings 2, WarPlanes;Planes of WWII, Drunken Bar Brawl, Creed, Roller Coasters, and 100 more experiences. We have offerings from peaceful and meditative to Intense Fear.
If there’s a specific game your guests would love to have available, feel free to request it via email before your event, and we’ll do our best to include it. While we’re unable to remove any of the must-have games from our storage drives, we aim to respect your preferences where possible. If there are games you’d rather younger guests not play, we will assist as much as possible; however, as our team can’t monitor every console at all times, we encourage parents or guardians to supervise gameplay.
Step 3: Prepare Your Space
On the day of the party, we’ll need:
Parking Space: Around 75 feet for our video game trailer and pickup truck.
Level Seating Area: A flat space on the passenger side of the trailer for outdoor gaming.
Outdoor Setup: Two TVs and driving simulators will be set up outside, letting guests enjoy thrilling matches or feel the wind in their hair as they race through city streets on the Need for Speed driving simulator.
VRcade Add-On: If you’ve chosen the VRcade, the sunblock structure will first need to be assembled on the passenger side of the trailer before setting up outdoor gaming systems. The space should also be mostly free of trip hazards, as VR participants are essentially blind while immersed in their experience. With the add-on, the footprint spans approximately 40x40 feet, plus the truck.
Laser Tag add-on: Once the game systems are up and running we can begin setting up your backyard laser tag arena. We will break the kids up into 2 teams and go over laser marker operation and rules. Then we fight. Laser Tag is best in shaded areas or late afternoon or evening parties as the sun can have an effect on laser transmission and reception.
Step 4: Day-of Coordination
Upon arrival, our team will immediately start up the generator on the trailer. Our first priority is establishing an internet connection:
If we’re using the host’s internet, the parking spot should be within 100 feet of the router, as we’ll connect using our Cat6 cable.
If Starlink is required, the parking location must have a mostly unobstructed view of the sky for satellite connectivity.
Once the internet connection is established, setting up inside the trailer will go quickly. Outdoor gaming systems, including Just Dance and the driving simulator, will follow soon after. If your party includes the VRcade add-on, the sunblock structure will need to be set up before the outdoor systems are ready.
If you’ve only booked the video game trailer, we can begin welcoming guests to play as soon as the driving simulators are set up—or even earlier, if the inside systems are good to go!
While we strive for a smooth setup, the reality of tech hiccups means they sometimes occur. Rest assured, your party time won’t officially begin until the games are running, so you won’t miss a minute of fun.
